2. e-Invoice QR Request Function in Cash Sales for Cash Sale Debtors

In this version, we have introduced the e-Invoice QR Request function in Cash Sales for Cash Sale Debtor. This enhancement allows customers to conveniently scan a QR code on their receipts to directly request an e-Invoice, improving efficiency and reducing the need for manual processing.

How It Works?

1) Set up Cash Sale Debtor

  • Ensure you have created a Debtor and enabled the Cash Sale Debtor option.

2) Create a Cash Sale

  • Select the Cash Sale Debtor as the Debtor.
  • Save the transaction with payment method Cash / Credit Card / Multi-Payment.
  • Enter the payment amount and ensure Print QR Submission is enabled.

3) Preview and Print

  • Preview the e-Invoice report.
  • A QR code for e-Invoice request will appear at the bottom of the document.
  • Customers can scan this QR code to request their e-Invoice.

4) Customer Submission Process

  • When the customer scans the QR code, the system will direct them to the e-Invoice request page.
  • They will fill in their buyer information, validate their email address, confirm the details, and submit the request.

5) Checking Submission Status

  • In AutoCount, go to Others > e-Invoice QR Submission Status.
  • Set the date range and click Inquiry. The initial status will display as Pending Upload.

  • Once validated, the record may no longer appear if Exclude Validated Submission is enabled.
  • If you wish to view those validated records, untick “Exclude Validated Submission” and inquire again.

  • When the document is in Valid status, previewing it with the same e-Invoice report will display the LHDN Validated QR at the bottom. Customers can scan this QR to verify whether the e-Invoice is valid.
  • If the submission is successful, the system will create a new Tax Entity if the Full TIN and Identity No. combination does not exist, and assign this Tax Entity to the Cash Sale transaction – or replace the Tax Entity information if a matching Tax Entity is found.

If Auto Email Validated e-Invoice for Cash Sale is enabled in the e-Invoice settings, the system will automatically email the validated Cash Sale document to the customer once the status is Valid.

6) Monitoring in Cash Sale List

  • In the Cash Sale list, validated e-Invoices will display as Valid with a 72-hour countdown timer (during this period, you may edit and resubmit if necessary).
  • To identify documents with QR Request printing, use the column chooser to pull out the Print QR Submission column in the Cash Sale command form. When this column is checked, it indicates that the report will display a QR code for the customer to scan.

4. Enhance Debtor and Creditor Maintenance to Add Import QR Function (e-Invoice Profile)

In this version, users can now import a QR code in Debtor / Creditor Maintenance. The QR code can be obtained from the customer, who downloads it from their MyInvois Portal taxpayer profile. Once imported, users can review the details and click Save to create the Tax Entity, which will then be assigned in Debtor Maintenance.

5. New Checking for Inconsistent Debtor and Creditor Company Name with Its Tax Entity Name

After upgrading to this version, the system will check for any inconsistencies between the Debtor or Creditor company name and its associated Tax Entity name. If any are found, a prompt will appear during the first login, allowing you to review and edit the company name. On this screen, you can click Edit to directly update the company name.

12. Other Enhancements

Some other key highlights of this version which do not require further explanation:

  • Increase Form Size for Change Code Account Number and Item Code – Increased the form size so that when users widen a grid column, they can still view the values in other columns.
  • Add checking for Serial Number Items with abnormal in/out movement in Year End Closing – To help alert users of any serial number transactions that may cause the Year End Closing process to fail.
  • Optimize performance for Cash Flow Forecast when there are many Debtors/Creditors and more than five columns are set – To resolve the issue of slow data loading in the Cash Flow Forecast.
